Microsoft Syntex.

Microsoft Syntex, formerly called SharePoint Syntex, is a very powerful Microsoft service that leverages AI to intelligently manage documents and content. It is used to automate document management processes and frequently to support knowledge management (KM).

At Content Formula we build and implement bespoke business solutions and integrations using Microsoft Syntex, that help businesses automate their key processes and strengthens company-wide knowledge management.

What is Microsoft Syntex?

Microsoft Syntex is a Microsoft 365 service that delivers what Microsoft refers to as “content AI integrated in the flow of work.” It enables automated processes that leverage AI such as summarisation, translation, automatic document assembly, annotations, metadata management and integrating certain values into content, for documents that sit within SharePoint libraries. It also covers elements such as search and e-signatures, with additional tools to manage the lifecycle of content.

The product, which was originally branded as SharePoint Syntex, was launched in 2020 and emerged from Project Cortex, an internal Microsoft project to better use AI to support knowledge management and related processes. Another output from Cortex was Microsoft Viva Topics.

More effective content management.

Syntex can help to support more effective content management processes leading to the better organisation, quality and relevance of content; this serves different purposes, such as improving findability. For example, Syntex may use AI to suggest or automate tagging of SharePoint documents or pages that are then easier to find.

Syntex can also increase the relevance of documents by intelligently tagging or adding information within a document based on its context, such as information or metadata relating to a project. Syntex can also auto-tag images so it can play a role in digital asset management too.

Speeds up process and improves productivity

Because Syntex uses AI it can automate advanced processes that involve content-based output. For example, you can use Syntex to intelligently assemble contracts or similar structured documents based on information entered into a simple form, hugely speeding up the process of document creation. For some teams, like in-house legal, this will have a significant impact on productivity. You can also use Syntex to extract particular data from documents, for example address details on invoices that are then placed into an accounting or CRM system, again saving time on data entry.

Supports compliance

Syntex can also help to ensure compliance, for example ensuring particular contractual or legal documents have the right text based on their context or use, and are in the right format. Syntex will ensure that the very latest text versions are being applied, preventing different teams from around the enterprise modifying document templates or using ones that are out of date.

Syntex can also be used to label any document with metadata relating to security levels or retention policies, again helping wider document compliance. Syntex also handles processes such as automating the e-signature of a document, while also helping teams keep on top of data governance and permissions.

Microsoft Syntex's AI technology captures, automates and transforms content into knowledge.

It automatically categorises different document types and retrieves the key information to aid knowledge management and data processing.

Syntex has a number of key capabilities and features that makes it a highly powerful solution.

Document building

You can create a document template within Syntex based on an existing Word document, which can be the basis for enterprise-wide model documents such as contracts, Statements of Work and invoices.

In your template you can identify different variables in the document that can be changed, then use a form to gather specific information, which can then be used to create a new document based on the information from the form.

Document understanding

Syntex can be used for document understanding, it can pull out particular key words inside a structured document and leveraging AI to recognise the type of information it is, and then extracting or classifying it.

This means you can automate processes such as extracting addresses or customer information from invoices. Syntex comes with some handy pre-built models covering invoice and receipt processing.

Integration

You can use SharePoint Syntex in conjunction with other Microsoft 365 and related services including Microsoft Office, Microsoft Teams, Dynamics, and The Power Platform (Power Apps and Power Automate)

This allows users to create more complex content and document management end-to-end processes involving document creation, workflows, storage, information extraction and more.

Object recognition

Syntex is able to understand and tag images with the aid of an underlying intelligent “visual dictionary” which understands thousands of objects. It can also convert handwriting into text.

Metadata search

Syntex allows for advanced metadata searching across SharePoint document libraries. This facilitates various other content management and discovery-related processes.

E-signatures

You can now incorporate e-signature processes into Syntex to fully automate an end-to-end document management process such as issuing contracts.

Metadata and tagging

You can automate the creation of metadata and tagging from a document based on different criteria to aid findability or content management.

Form processing

You can use information from a form to put into a document, or process the form as part of a wider content management project.
